Stallholders information 2021

This information is for confirmed stallholders at Beeston Festival 2021. If you haven’t booked yet, we’re afraid you are too late.

ARRIVAL

Please do not arrive before 9.30am or after 11.00am. Access out of these hours will not be granted. If you arrive early DO NOT QUEUE OR WAIT blocking roads, you should return after 9.30am.

ENTRY TO THE PARK

Use the Beeston Road entrance.

Vehicles will not be allowed in the park without a pass under any circumstances.

Please drive at 5 mph with hazard lights on throughout the site, following traffic marshals’ instructions.

The steward on the gate will direct you towards your pitch.

LOCATING YOUR PITCH

You will have received your stall number and a map by email – refer to the map to locate your stall pitch.

Stall allocation is fixed and cannot be amended.

PARKING

Once you have located your pitch, one vehicle will be allowed to park behind the stall and the other parked in the car park – by 11.30am.

Do not use your vehicle between 11.30am and 5pm.

SETTING UP

Setting up should be completed before 11.30am so that the event can start on time.

You should bring your own gazebos and tables & chairs unless these have been hired via your booking form.

Collect hired tables and chairs from the information stand.

All gazebos, tents etc. must be securely pegged down.

Petrol-based generators are not allowed in the park.

Stalls this year have been spaced out to allow for distancing to comply with our Covid-19 risk assessment, therefore you will find approximately 1.5m gap between stalls. This gap must not be encroached on by any stall holder. It is paramount you keep areas behind stalls organised and orderly; if you feel the need to secure this gap to prevent unauthorised access we advise you bring a suitable barrier.

CLEARING UP AND GOING HOME

Your pitch should be left completely clear at the end of the event.

Please ensure that you collect all litter frequently to reduce problems for litter pickers

Stallholders are to dispose of any rubbish using bin bags and taking them to the skip near the information stand.

All tables and chairs hired should be returned to the information stand at the end of the event.

The event finishes at 5pm – cars will not be allowed to move before this time!!

If you do need to move your vehicle in the event of an emergency, go to the information stall for help.

FOOD STALLS

The Festival theme this year is sustainability. Therefore, as you are aware from the booking form, your food stall fee includes a £25 refundable amount based on the following criteria:

  • Exclusively cardboard or paper crockery and containers
  • Exclusively cardboard or paper cups
  • Wooden cutlery
  • At least one vegetarian option
  • No plastic straws

Committee members will check all food stalls during the festival to monitor who has used eco-friendly stock.

Please sort your waste for recycling and use bin bags. These should be taken to the skip near the information stand.

HEALTH AND SAFETY FOR FOOD STALLS

You must have public liability insurance.

You must have undertaken a basic food hygiene course and, if you conduct regular food activity, be a registered food business

Proof of the above documents must be available for inspection if requested by health and safety officers, so please bring them with you to the Festival.

Failure to comply with such requests could result in you being asked to leave the park. Please contact Hannah from stalls management if you have any queries re the above on 07747 809572 / 07747 488677

You must tape off the cooking and preparation areas of your to ensure the safety of the public and your customers. You are responsible for providing any materials required to secure the area from public access.

Appropriate clothing and equipment, in line with food safety laws, must be worn/used at all times.

Stalls using a power and/or heat source must bring a operational fire extinguisher and fire blanket, these will not be provided

APPLIANCES

Diesel generators only, petrol generators are forbidden. Generators must meet the latest environmental ratings, please email beestonfestival@gmail.com to check if your generator is acceptable.

Gas installations must be inspected by a qualified engineer prior to the event.

Gas bottles must be suitably secured or staked down.

Fire extinguishers and fire blankets must be placed in a suitable and accessible location for use in an emergency, and visible for inspection.

Failure to comply with the above could result in you being asked to leave the park or from attending future events.

Please note that the organising committee is not responsible for the safety of individuals’ stalls and equipment.
